Event Terms & Conditions

Terms for registering for and taking part in events organized or co-organized by Graphify, and other events that expressly adopt these Terms.

These Event Terms and Conditions ("Terms") apply to your registration for and participation in any in-person, virtual, or hybrid event organized or co-organized by Graphify Labs (a "Graphify-hosted Event"), and any other event whose applicable event page expressly states that these Terms apply (each, an "Event").

By registering for, RSVPing to, attending, or otherwise participating in an Event, you acknowledge that you have read, understand, and agree to these Terms, the Graphify Community Code of Conduct, and any additional requirements listed on the applicable Event page.

In these Terms, "Graphify," "we," "our," and "us" mean Graphify Labs.

1. Scope and event organizers

An Event page may add requirements for that Event, including dates, place, capacity, registration, age, fees, photography, and Challenges. If an Event-specific requirement conflicts with these Terms, the Event-specific requirement controls for that Event to the extent of the conflict.

The Graphify Community Code of Conduct applies at Graphify-hosted Events and at other Events where it is expressly adopted.

Some events supported or promoted by Graphify are independently organized. Unless the event page identifies Graphify as the organizer or co-organizer, the named organizer is responsible for operating, changing, or cancelling the event. Graphify's support does not make the organizer an employee or agent of Graphify.

Graphify may withdraw its support, participation, promotion, branding, speaker, Challenge, or prize where reasonably necessary. That does not cancel an independently organized Event.

2. Registration and participation

To attend an Event, complete the registration process on the Event page and give accurate, current information. Registration may depend on capacity, approval, a fee, age or identity requirements, and any other condition on that page. Completing registration does not guarantee admission if those requirements are not met.

Tickets, badges, access links, and credentials may not be sold, copied, or transferred unless the Event page allows it. Do not share a private virtual-event link or access code with someone who is not registered.

Any age requirement is stated on the Event page. Where minors are allowed, Graphify or the organizer may require consent from, or attendance by, a parent or legal guardian. Where alcohol is available, a participant must meet the legal drinking age at the Event location.

Graphify may deny, limit, or revoke registration where reasonably necessary to protect safety, capacity, integrity, or compliance with these Terms, subject to applicable law.

3. Conduct and safety

Participants must follow these Terms, the Community Code of Conduct, reasonable instructions from organizers and venue staff, applicable laws, Event-specific requirements, and the rules of the venue or virtual platform. This covers attendees, speakers, sponsors, exhibitors, volunteers, mentors, judges, staff, and organizers, at the venue, on Event platforms, and at official activities connected with the Event.

Participants must follow reasonable safety, security, access-control, and emergency instructions from Graphify, the organizer, venue staff, and authorized personnel. A participant who refuses required procedures or creates a safety or security concern may be denied entry or removed.

Graphify or the organizer may warn, remove, restrict, or refuse entry for conduct that violates these Terms or the Code of Conduct, disrupts the Event, harasses someone, or falsely represents an affiliation with Graphify. Where the law and the refund policy allow it, removal for misconduct may mean no refund.

Participants must not present themselves as Graphify employees or agents unless they have written authorization to do so.

Participants who require an accommodation should contact the address listed on the event page as early as reasonably possible. For independently organized events, requests should be directed to the named organizer.

4. Personal information

Graphify handles personal information under the Privacy Policy and applicable law. Registration and participation information may be used to run the Event, send details, confirm eligibility, provide access, operate sessions, manage safety, deliver accommodations, send follow-ups, and meet legal obligations.

Graphify will not give a participant's contact information to a sponsor for that sponsor's own marketing merely because the participant registered, unless the participant opts in, the Event page clearly says that sharing will happen, or another lawful basis applies.

If a participant chooses to share information with a sponsor, for example by scanning a badge, filling in a sponsor form, or asking for follow-up, that third party's privacy policy applies. For an independently organized Event, the organizer may collect participant information separately. The Event page should name the organizer and point to its privacy notice.

Participants must not scrape, sell, or misuse attendee lists or registration information.

5. Photography and recordings

Graphify, the Event organizer, or an approved photographer may photograph, film, or record an Event. The Event page or an on-site notice should say when recording is expected.

By taking part in an area or session identified as being photographed or recorded, a participant acknowledges that their name, image, voice, or presentation may appear in Event photographs and recordings. To the extent the law allows, they grant Graphify permission to use those materials to document the Event, publish a recap, announce participants or winners, and describe Graphify and future Graphify Events. No extra payment is due for those uses.

Where Graphify offers a photo opt-out, people who do not want to appear in general Event photographs should use it. An opt-out may not cover someone who chooses to speak, present, accept an award, join an official group photograph, or join a session identified as being recorded.

Anyone recording for themselves must follow Event and venue rules, respect no-recording notices, and get permission before using someone else's image, voice, or materials commercially. This section does not transfer ownership of a participant's presentation, project, code, or slides.

6. Changes, cancellation, and refunds

For a Graphify-hosted Event, Graphify may change the date, place, platform, format, schedule, speakers, or program, and may postpone, relocate, suspend, or cancel the Event when reasonably necessary. Graphify will communicate material changes where reasonably possible.

For an Event operated by another organizer, that organizer controls changes to and cancellation of the overall Event. Graphify may separately withdraw or change its own participation, speaker, Challenge, prize, branding, or support.

Graphify is not responsible for delays, changes, or cancellation caused by circumstances outside its reasonable control.

The cancellation, transfer, and refund policy is on the Event registration page. Where no policy is stated, registration fees are refundable only where the law requires it. Not attending does not by itself entitle someone to a refund. A refund of a registration fee does not cover travel or other third-party costs unless the law requires it.

7. Travel and third-party services

Unless the event page states otherwise, participants are responsible for their own travel, accommodation, visas, insurance, equipment, and other costs. Graphify is not responsible for those costs if an event changes or is cancelled, except where required by law. Graphify is not responsible for lost or damaged personal property except where the law does not allow that exclusion.

Speakers, sponsors, and other participants speak for themselves. A participant must have the right to present the materials they use. An Event may rely on third-party venues, ticketing, and platforms, which have their own terms. Graphify is not responsible for an independent third party's conduct except where the law requires it. Attending does not give permission to use Graphify trademarks or brand assets except where Graphify has authorized that use.

8. Challenges and prizes

If an Event includes a hackathon, build challenge, track, competition, or prize, the Graphify Challenge Rules and any event-specific challenge requirements also apply.

These Terms govern attendance. The Challenge Rules govern the Challenge. Cancelling an Event may cancel a related Challenge unless Graphify announces another arrangement. Changing a Challenge does not necessarily cancel the Event.

9. Risk and liability

Participation in an Event is voluntary.

Participants are responsible for the ordinary risks of travel to and attendance at an Event, and for reasonable precautions that fit their circumstances. To the extent the law allows, each participant is responsible for their own conduct, property, travel, use of third-party services, and activities they choose to join.

Graphify does not guarantee that an Event will be uninterrupted, error-free, completely secure, or suitable for every participant. To the maximum extent the law allows, Graphify is not responsible for indirect or consequential losses arising from Event participation, Event changes, or the conduct of independent third parties.

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited, including liability for fraud, intentional misconduct, or any other matter the law does not allow to be excluded.

10. General terms

To the extent permitted by applicable law, these Terms are governed by the laws of the State of Delaware, United States, without regard to its conflict-of-laws rules. Nothing in these Terms limits any mandatory consumer protection or other rights that cannot be waived under applicable law. For an Event operated by another organizer, that organizer's terms may separately govern the participant's relationship with that organizer.

Graphify may update these Terms by publishing a revised version and changing the "Last updated" date. The version linked when someone registers ordinarily applies to that registration. If a material change is made after registration and before the Event, Graphify will communicate it where reasonably possible.

If a provision of these Terms is found invalid, it will be limited or removed only as far as necessary, and the rest will continue to apply. Not enforcing a provision once does not waive the right to enforce it later.

These Terms, the Community Code of Conduct, applicable Event-specific requirements, and any terms incorporated by reference form the agreement for the applicable Event. They do not create an employment, agency, partnership, or joint venture between Graphify and an attendee, ambassador, volunteer, speaker, sponsor, or independent organizer.
